What you will be doing

  • Trains and supervises project office managers and administrative staff on company policies and documentation procedures.
  • Reviews and approves office supply orders and equipment service contracts for all locations in assigned district.
  • Arranges travel, coordinates and submits expense reports for district leadership in a timely, accurate and complete manner.
  • Generates financial and administrative reports for district leadership as needed.
  • Oversees onboarding and orientation for new hire employees, including process for drug screenings, presenting first-day orientation information and submitting new hire documentation in a timely, complete and compliant manner.
  • Supports daily office administration and employee inquiries, working closely with human resources and payroll to resolve issues for employees.
  • Oversees Equal Employment Opportunity (EEO) Compliance trainings, communications and participation for assigned group. (US Only)
  • Oversees and audits process for tracking and processing weekly payroll at project site to ensure accurate and complete records submitted to assigned regulatory agencies and company payroll department.  

What we are looking for

  • High School Diploma or GED required.
  • 7+ years administrative experience in construction industry required.
  • Experience working with Equal Employment Opportunity (EEO) Compliance (US Only), Davis Bacon Act (US Only) and Union Labor Relations required.
  • Proven leadership and influencing skills. Able to train, mentor and support office management staff within district.
  • Advanced knowledge of construction industry and project business procedures.
  • Proven knowledge of accounting, invoice tracking and accounts payable cost coding in the construction industry.
  • Advanced knowledge of subcontractor invoicing and accounts payable cost coding.
  • Ability to work in MS Office Suite, including Word, PowerPoint, Outlook and Excel required.
  • Able to maintain strict confidentiality and discretion with company and personnel information.
  • Knowledge of union and certified payroll requirements and record keeping preferred.
